A Microsoft 365 tenant is a ledger of seats. Every seat is a person, a mailbox and a monthly charge. The ledger on the right has 48 seats and 11 of them belong to people who left; nobody was told to reclaim them, so they are still on the invoice.

Microsoft 365 business basic, standard or premium: what changes per seat

Microsoft sells three business plans and caps each tenant at 300 seats. The names hide the real difference, which is where the apps run and who is allowed to lose a laptop. Prices below are Microsoft’s published Singapore rates on 7 September 2026, per user per month on an annual commitment, shown in Singapore dollars including 9% GST (Microsoft publishes them in US dollars excluding GST, converted at S$1.2674 to the dollar). Microsoft 365 Business Basic is the mailbox; the other two are the desk and the security around it.

Microsoft’s Singapore price list now leads with Standard and Premium bundled with Copilot. If a seat does not need Copilot, say so: we quote the plan the seat needs, mixed across the tenant, and the ledger shows which is which. Monthly-commitment pricing exists and costs more per seat; it is the right choice only for genuinely temporary staff.

PAST THE 300-SEAT CAP

Beyond the microsoft 365 business plans: E3, E5 and E7

Every business plan on this page caps the tenant at 300 seats. Past that number — or the day a Singapore company needs 100 GB mailboxes, Windows 11 Enterprise, eDiscovery Premium or an identity plan an auditor will accept — Microsoft moves the conversation to the enterprise plans. The rates below are Microsoft’s published Singapore figures on 7 September 2026, per user per month on an annual commitment, in Singapore dollars including 9% GST (Microsoft publishes them in US dollars excluding GST — E3 US$39.00, E5 US$60.00, E7 US$99.00 — converted at S$1.2674 to the dollar). They are quoted per tenant, so treat them as the shape of the jump rather than a shelf price.

The honest read for most Singapore SMEs: Business Premium is the ceiling you need. It carries Defender, Intune, Entra ID P1 and Purview information protection at a third of the E3 price, and the 300-seat cap is not a real cap for a fifty-person firm. E3 earns its money on seat count and on Windows Enterprise; E5 earns it on the security and compliance stack, not the mailbox; E7 is E5 with Copilot and Agent 365 already inside. We size the tenant first and tell you which of those three the seat actually needs — often the answer is none of them.

Microsoft 365 business premium security baseline: Defender, Intune, MFA

Most of the mailbox takeovers Rezolva has cleaned up in Singapore began with a password and no second factor, on a tenant where nobody had looked at the sign-in log. Microsoft 365 Business Premium exists for the seats that carry that risk; the baseline below is applied to every seat regardless of plan.

Deleted mailboxes are recoverable for 30 days and retention has edges. Where mail and SharePoint are evidence, a separate copy sits outside the tenant; the Microsoft 365 backup page has the numbers.

THE ADD-ON

Microsoft 365 copilot for business: the add-on and when it pays

Copilot is now inside the Standard and Premium bundles and an add-on on Basic at S$24.86 per seat. Microsoft 365 Copilot for business pays for itself on some seats and is an expensive icon on others, and the ledger should know which.

What it does on a seat. Draft and rewrite in Word and Outlook, summarise a Teams meeting the seat missed, ask Excel a question in plain English and get a formula, search across mail, files and chats for the thread that had the number in it. It reads only what the seat already has permission to read.

The permission catch. That last sentence is the whole risk: Copilot surfaces whatever the tenant has over-shared. A SharePoint site with “Everyone” access becomes searchable by everyone. Before Copilot goes on, we run a permissions review; on tenants that grew for a decade it is the longest part of the job.

Our rule for the ledger. Copilot on the seats that write, analyse or sell; Basic without it on the seats that do not. A Singapore SME with 40 seats usually ends up with 10 to 15 Copilot seats, and the monthly difference is visible on the invoice.

Only past 300 seats or past what Business Premium can sign off. Microsoft’s Singapore list on 7 September 2026 is US$39.00 for E3, US$60.00 for E5 and US$99.00 for E7 per user per month on an annual commitment, excluding GST — about S$53.88, S$82.89 and S$136.77 with 9% GST at S$1.2674 to the dollar. What you buy is the seat cap lifted, a 100 GB mailbox with a 1.5 TB archive, Windows 11 Enterprise and, on E5, Defender and Purview at Plan 2 with eDiscovery Premium; E7 is E5 with Microsoft 365 Copilot and Agent 365 inside. For a fifty-person Singapore firm, Business Premium usually does the same job for a third of the money, and that is what we will tell you.

Basic is the mailbox and the web versions of Office with Teams; Standard adds the desktop apps and, in the current Singapore bundle, Copilot; Premium adds the security layer — Defender for Business, Intune device management, Entra ID P1 conditional access and Purview information protection. All three carry a 50 GB mailbox and 1 TB of OneDrive. The tenant can mix them, so the right answer is per seat, not per company.

Yes, and you should. A tenant of 40 seats is usually a handful of Premium seats for directors and laptops, Standard for the desks and Basic for shared or frontline PCs. Microsoft caps each business plan at 300 seats per tenant; past that the Enterprise E-plans take over without a migration.

There is no free business tier. Microsoft offers a one-month trial on Standard and Premium that converts to a paid annual subscription unless cancelled, which is exactly how ghost seats begin. We set trials up with an end date on the ledger and a reminder to the person who asked for it.

Typing microsoft for business 365 into a search box usually means a company of five to fifty people that has outgrown a free mailbox. Most of them need Business Standard for the desks, Basic for anyone who never opens Excel and Premium for the two or three seats holding the bank tokens. If the whole company works in a browser, Basic across the board with Copilot on the two writers is a perfectly good answer.
