Google Workspace Backup Singapore
Google Workspace backup matters because Google keeps the service running, not your mistakes reversible: a deleted file has 30 days in Trash, an admin 25 more, a deleted user 20, and then nothing. Rezolva copies every user’s Gmail, Drive, shared drives, Calendar and Contacts at 02:00 and holds the copy outside Google: on a Synology NAS in your office, in Acronis cloud storage, or on both, for offices across Singapore.
The Workspace line of our offsite backup family. Choosing a plan first? See Google Workspace plans; on Microsoft? See Microsoft 365 backup.
Google native: inside Trash’s 30 days if it was deleted; an overwritten file has only Drive’s own version history.

Restore Google Drive Backup — three questions Google’s own tools cannot answer
Every restore Google Drive backup request is three answers: which item, as of which night, back to whom. Trash and the admin console answer the first, and only for a few weeks.
Restore · RequestWhich item
A Gmail message, a Drive file, a shared drive folder or a calendar. Trash finds an item only if it was deleted and its owner still exists; the copy finds it either way.
Drive · FilesAs of which night
Every 02:00 copy is a point you can name: last night, last Tuesday, thirty days back; a recycle bin has no such thing.
Calendar · PlanBack to whom
To the original owner, to another user when the owner has left, or as an export file for an auditor; every restore Google Drive backup job ends in one of the three.
Google Workspace Backup — six reasons it matters
Google Workspace backup matters for six ordinary reasons. None of them is Google losing a data centre; every one of them starts inside your own domain, and Google’s tools answer each for a few weeks at most.
Shared drive · TeamFour people, one shared drive; the restore Google Drive backup call comes from whoever stays.
Shared · DeskShe did not mean to delete it; when she can’t restore backup from Google Drive, the copy answers without blame.
Startup · RoomGoogle Workspace backup is usually decided in this room, the week after the first loss rather than the week before.
Deleted, and noticed too late
Trash holds a deleted file for 30 days and a super admin can recover it for 25 more. Most deletions are found at month end or at the board pack, after both windows have closed; that is when the “I can’t restore backup from Google Drive” call comes in.
Overwritten, not deleted
A sheet pasted over on Wednesday is not in Trash at all. Version history helps one file at a time; it does not roll a folder, a mailbox or a shared drive back to a named night. A restore Google Drive backup from the copy names the night instead.
A leaver deleted to save the licence
Deleting a leaver’s account stops the fee and starts a 20-day clock. After day 20 the account and the files it owned are gone, including folders the team still works from.
Ransomware that syncs up
Drive for desktop mirrors what the PC holds, so files encrypted on one laptop are uploaded like good saves and every collaborator’s copy changes with them.
One login can empty everything
Whoever holds a super-admin login can delete users and empty Trash for the whole domain. A copy held outside Google is not reachable from the account that was taken over.
A date the auditor asks for
A supplier thread from 2023 sits past every Google window; with a Google Workspace backup it is exported from the copy as a file the auditor can open.
Google Workspace Backup — does Google already back you up?
Not in the way the word means. Google keeps the service running; Google Workspace backup matters because each of the five mechanisms below has a window and a limit, and none is a copy you control.
SWIPE THE RAIL — TONIGHT ON THE RIGHT, THIRTY NIGHTS BACK ON THE LEFT
The token stands on the seventh mark back, and every Google span above it still reaches that far, so the native tools would just about answer. Pick a different night in the request card at the top of the page and watch which spans still cover it.
Owner · GmailThe owner is the one who empties Trash; Google Workspace backup is the copy that does not depend on her.
Gmail · InboxThe inbox looks permanent; it follows the account, and the account follows the licence.
Google Workspace backup is your job; the windows above are courtesy periods that restore the latest state only, and each one ends.
- Nobody notices an overwritten forecast inside 30 days; they notice at quarter end.
- A leaver’s account is deleted to stop the licence fee; the 20-day clock starts then.
- The call that begins “I can’t restore backup from Google Drive” is almost always day 31.
Google Workspace Backup Solutions — Vault, export, sync and a real backup compared
Google Workspace backup solutions get confused with Google’s own tools because each does one thing a backup does; only one column answers all six rows.
Sheets · OwnerGoogle Workspace backup solutions that cannot restore last Tuesday’s version of this sheet are not solutions.
Export · LaptopTakeout and Data Export run from one laptop, one download at a time; nothing restores itself.
Search for Google Workspace backup solutions, a Google Workspace backup tool or Google Workspace backup software, and three do-it-yourself routes come up first. Each costs little or nothing; each leaves the schedule, the checking and the restore to you.
- Google Takeout: one user downloads their own Gmail, Drive and Calendar as an archive. Nothing goes back into Workspace by itself, and a leaver cannot run it after the account is gone.
- The Data Export tool: a super admin exports the whole organisation’s data to a Google Cloud Storage archive and downloads it. It is the archive of the day it ran, not a series of nights.
- A Synology NAS: Synology Active Backup for Google Workspace is a free add-on for a Synology NAS, so a Synology Google Workspace backup keeps versions on your own hardware; run it yourself, or have us run it as below. See Synology Singapore.
- Managed Google Workspace backup: the same nightly copy on a Synology NAS, in Acronis cloud or on both, run, checked and reported by us, with the restore on one hotline.
Automatic Backup to Google Drive — Drive for desktop on a PC or phone is sync, not backup
Automatic backup to Google Drive is the phrase most offices search before they lose something: a Google Drive backup PC setup is Drive for desktop, a Google Drive app backup on a phone is device backup, and neither is a Google Workspace backup.
Drive for desktop and the phone app
- Automatic backup to Google Drive from a PC is Drive for desktop: it mirrors a folder, deletes included.
- A Google Drive backup PC setup keeps one copy in two live places; there is no night to go back to.
- The Google Drive app backup on a phone covers that handset’s photos and contacts; a Google Drive backup phone owners rely on is device backup.
- A Google Drive backup phone users switch on protects the phone, not the Workspace it signs into.
- Turning on automatic backup to Google Drive across the office still leaves one copy of every file, in one account.
Tablet · SyncBoth screens show the same folder; the Google Drive backup PC question is what happens when it is wrong on both.
A Google Workspace backup
- Taken from Google’s side at 02:00, for every user, whether any PC was on or not.
- Every night is its own point; Wednesday’s overwrite leaves Tuesday untouched.
- Held outside Google, so automatic backup to Google Drive failing is not the single point of failure.
Owner · MobileThe Google Drive backup phone setting covers the handset; the Google Drive app backup never reaches the shared drive.
Google Drive Enterprise Backup — shared drives, ownership and the leaver
Google Drive enterprise backup is the difference between a leaver’s files being transferred and being kept; the copy is taken whether anyone remembers or not.
Google Drive enterprise backup is mostly about ownership. My Drive files belong to the user; when the account is deleted an admin has 20 days, then they are gone. Shared drives belong to the team, until a folder is deleted.
Ownership transfer is an offboarding step; Google Drive enterprise backup covers the offboarding nobody did and the decade of files under it.
- Transfer first, before deletion; the copy is the safety net, not the procedure.
- Shared drives are copied as drives; a folder deleted by one member is restored for all.
- Google Drive enterprise backup restores the leaver’s Drive to a manager as a new folder.
Owner · On callThe call about the leaver’s files comes after the licence went; Google Drive enterprise backup makes it short.
Cafe · OfficeHalf the team works from here; the copy is taken from Google, not from any laptop.
- Ownership transfer moves live files; it does not bring back last month’s version.
- A shared drive survives the leaver; a folder deleted by a member still needs the copy.
- Google Drive enterprise backup keeps every Drive and every shared drive on the same 02:00 clock.
Acronis Google Workspace Backup — or Synology, or both: how it runs each night
Acronis Google Workspace backup is one way to run it, not the only one. The copy can sit on a Synology NAS in your office, in Acronis cloud storage, or on both; the five steps between 02:00 and the morning report are the same, and nothing runs on a staff PC.
Notebook · LaptopThe 07:00 report is read before your office opens; a retried user is a line, not a surprise.
The copy lands on a Synology NAS in your office running Active Backup for Google Workspace, or offsite as a cloud backup for Google Workspace: Acronis Google Workspace backup in Acronis cloud storage, encrypted before it leaves Google and in the same console as our Acronis backup plans; or on both.
Owner · ShopA five-person shop gets the same night run as a fifty-person office.
Google Workspace Backup — onboarding and the first restore drill
Google Workspace backup and recovery starts with a consent screen, a first copy and a restore drill: nothing to install.
Super-admin consent
A super admin authorises the backup application once, Synology Active Backup or Acronis; the copy starts that night and no password is handed over.
First full copy
Every user and every shared drive, walked once: hours for a small domain, days for a large one; incremental after.
The first restore drill
You pick a file; we restore it while you watch, time it, and the Google Workspace backup is signed off on the call.
Owner · CounterThe drill is done on a call like this, between customers; the restore takes minutes.
Gmail, Drive, a shared-drive share, Calendar and Contacts for one person, copied nightly at 02:00 and held outside Google, with thirty days of points to restore from.
Twelve months of restore points on the same seat, for the domain whose auditor asks for a date instead of a document.
Below ten people the nightly checking costs more than the licences do, so ten users is where a managed Google Workspace backup starts.
Shared drives are copied with the users rather than sold as an extra, because the folder that outlives a leaver is almost always a shared drive.
Acronis Google Workspace backup is quoted per user and per month, never per gigabyte, because people are the number an office can count and the mailboxes, drives and shared drives behind them are ours to size. The same seat rate sits on our Microsoft 365 backup and Acronis Singapore pages, because it is one seat sold through three doors, and no restore on this form is charged for.

Frequently asked questions
Because Google’s recovery tools are windows, not copies. Trash holds a deleted file for 30 days, a super admin can recover Drive files and Gmail for 25 days after that, and a deleted user can be restored for 20 days. Overwrites, leavers, ransomware that syncs up and a taken-over admin login all fall outside those windows; Google Workspace backup is the copy that does not.
Of all the Google Workspace backup solutions, the one that holds up is a copy taken automatically every night from Google’s side, held outside Google, with named restore points and a restore drill that has actually been run. Takeout and the Data Export tool are one-off archives; a Synology NAS or Acronis cloud works when someone owns the schedule and the checking; a managed Google Workspace backup puts that on us, on either platform.
No. Acronis Google Workspace backup is one route, not the only one: we run Google Workspace backup on a Synology NAS in your office with Active Backup for Google Workspace, as a Google Workspace cloud backup in Acronis cloud storage, or on both. The night run, the morning check and the restore are the same on either platform; what changes is where the copy sits and whether there is hardware on site.
Google Takeout and the Data Export tool cost nothing but produce one-off archives, and Active Backup for Google Workspace is a free add-on for a Synology NAS you already own. What none of them includes is someone checking every morning that last night’s copy ran.
A super admin uses the Data Export tool in the Admin console to export the organisation’s data to a Google Cloud Storage archive and download it; a single user can use Google Takeout for their own account. Either gives you an archive of that day, not a series of nights to restore from; a Google Workspace data backup is that series.
Google keeps the service running and replicates its own storage; it does not keep a point-in-time copy of your data that you can restore from. Trash and the admin windows are courtesy periods that end, which is why Google Workspace backup matters.
Trash keeps a file for 30 days; a super admin can restore permanently deleted files and Gmail for 25 days after that; a deleted user for 20 days. Beyond those windows the only copy is your Google Workspace backup.
Yes. Google’s own help page says that after a subscription is cancelled, users’ Gmail, Calendar, Chat and Drive data is deleted and can’t be restored, and asks you to download what you want to keep first. A Google Workspace backup held outside Google is not tied to the subscription.
If the call is “I can’t restore backup from Google Drive”, check the day: 30 days for the owner via Trash, 25 more for a super admin. Past that only an independent copy helps: you name the night, we restore it, and the can’t restore backup from Google Drive call is a fifteen-minute job.
No. Vault is retention and eDiscovery: it holds, searches and exports data for compliance, but it does not restore a file to a point in time or put a leaver’s Drive back. Google Workspace backup solutions and Vault sit side by side; one is for lawyers.
Yes, if the copy was taken before the deletion, which is what the nightly run is for; the leaver’s My Drive is restored to a manager as a new folder, or into a shared drive, whether or not the 20-day window has passed.
No. Drive for desktop is sync: a Google Drive backup PC setup mirrors a folder both ways, so a deletion or an encrypted file is copied up like a good save. The same is true of the Google Drive app backup on a phone: the Google Drive backup phone setting protects the handset, not the company’s Workspace.
Google Workspace backup is priced per user per month; every user’s Gmail, Drive, Calendar and Contacts plus their share of the shared drives is one seat, quoted fixed.
- Nothing added yet; every section above has one example you can add.
Get the basket restored from last night’s copy
The WhatsApp button carries whatever is in your basket. An engineer confirms the item, the night and the target, quotes fixed per user if you are not yet on the copy, and runs the first drill.
